The Lead Specialist, Usage Billing serves as the dedicated Domain Expert (SME) for all end-to-end Usage Billing processes, providing deep operational expertise, governance, and strategic support across the function. This role acts as the main point of contact for projects, migrations, system enhancements, and critical initiatives impacting Usage Billing operations.
The Lead Specialist is responsible for driving process standardization, strengthening risk and control frameworks, coordinating internal and external audit activities, and ensuring operational continuity through effective knowledge management and multi-functional collaboration. Working closely with Operations, Technology, Product, Finance, and Risk teams, the role helps ensure the delivery of accurate, efficient, and scalable billing processes that support business objectives.
Key Responsibilities
Usage Billing Domain Expertise
Serve as the primary Domain Expert (SME) for all end-to-end Usage Billing processes, systems, controls, and operational workflows, demonstrating expertise in at least two to three Usage Billing process areas. Provide expert guidance and support in addressing complex billing scenarios, resolving process issues, and overcoming operational challenges. Maintain a comprehensive understanding of upstream and downstream process dependencies and their impact on billing operations, ensuring accuracy and efficiency across the billing lifecycle. Act as a trusted advisor to internal stakeholders by offering reliable insights and recommendations on all Usage Billing-related matters.
Strategic Projects and Change Initiatives
Serve as the primary Usage Billing representative for projects, migrations, system implementations, and central initiatives. Assess and clearly communicate the operational impacts, risks, dependencies, and required process changes associated with system implementations, platform migrations, product launches, and process enhancement initiatives, while recommending appropriate mitigation strategies. Collaborate closely with Technology, Product, Operations, Finance, and other multi-functional teams to define business requirements, support solution design, coordinate User Acceptance Testing (UAT), validate Usage Billing processes, and ensure the successful delivery of projects, migrations, and system enhancements. Lead operational readiness activities for projects and migrations by developing process documentation, facilitating knowledge transfer, handling stakeholder communications, conducting training, providing launch support, and supervising post-implementation stabilization to ensure a seamless transition into business-as-usual operations.
Audit, Risk, and Control Management
Coordinate and be responsible for internal and external audit activities impacting the Usage Billing function, ensuring all requirements are handled efficiently and in a timely manner. Act as the central point of contact for audit requests by facilitating evidence gathering, maintaining proper documentation, and engaging relevant stakeholders throughout the audit process. Monitor and track audit observations, remediation efforts, and control enhancements to ensure issues are promptly addressed and resolved. Support risk identification, assessment, and mitigation activities across Usage Billing processes while promoting a strong risk and control culture through consistent alignment to established governance frameworks.
Process Excellence and Standardization
Lead efforts to standardize and optimize Usage Billing processes across the function, ensuring consistency and efficiency in operations. Conduct trend analysis on Usage Billing metrics, operational issues, exceptions, and customer impacts to identify root causes, emerging risks, and opportunities for process improvement. Proactively identify initiatives that enhance operational efficiency, quality, scalability, and overall customer outcomes. Develop, maintain, and continuously enhance process documentation, procedures, and operating standards to support operational excellence. Drive continuous improvement initiatives while promoting and supporting the adoption of procedures across the Usage Billing function.
Knowledge Management and Operational Continuity
Establish and maintain a robust knowledge management framework for Usage Billing processes to ensure information is accurate, accessible, and up to date. Promote knowledge sharing and cross-training initiatives to reduce key-person dependency and strengthen overall team capability. Develop comprehensive training materials and facilitate knowledge transfer sessions for team members and stakeholders to support continuous learning and alignment. Additionally, support business continuity planning and operational resilience by ensuring effective documentation practices and readiness through proper succession planning.
Stakeholder Engagement
Build strong relationships with internal and external interested parties across Operations, Technology, Product, Finance, Risk, and Audit functions to develop collaboration and alignment. Effectively communicate project updates, process changes, risks, and key operational insights to management and relevant participants to support informed decision-making. Provide leadership and exert influence in discussions related to Usage Billing strategy, governance, and process improvement, ensuring alignment with organizational objectives and driving continuous enhancement.
Qualifications and Experience
- 3–5 years of overall experience in billing operations, revenue operations, financial operations, shared services, or a related business function.
- Good understanding of end-to-end Usage Billing processes and associated controls.
- Experience supporting business transformation initiatives, system implementations, and process migrations.
- Demonstrated experience coordinating internal and external audits.
- Knowledge of risk management, operational controls, and governance frameworks.
- Strong analytical, problem-solving, and process improvement capabilities.
- Superb communication, stakeholder management, and influencing skills.
- Ability to operate independently and lead initiatives across multiple functional teams.
